How do I setup payroll for Kronos WorkforceReady (CSV)?

Paying your employees should be quick and easy. To help with this, you can configure FieldClock to export pay data into a file that’s accepted by Kronos WorkforceReady.



If you haven’t already, please watch our videos titled “How to create a Payroll Entity” and “How to map payroll codes” linked below to first learn about Payroll Entities, template placeholders and payroll code mapping. This will provide you with the knowledge necessary to successfully configure Kronos WorkforceReady (API). 

  • Click the “Software” dropdown and select “Kronos WorkforceReady (CSV)” as your payroll software
  • Then, enter your Kronos Company ID or Short Name into the “Company ID” input field
  • Next, enter your Kronos API Key so syncing is allowed between the two services
  • Finally, click the “Save” button to save your Kronos connection 

Optional: Click the “Show additional fields” button to expand various inputs for Cost Centers, Custom Templates, Shift Template, and Pay Category Template.

Template Placeholders, which are listed in blue on the right-hand side of your screen, can be used to map payroll codes to those payroll specific inputs. For example, if your “Cost Center 1” in WorkforceReady is set to Ranch Code, copy and paste the Template Placeholder “{ranch_code}” into the Cost Center 1 Template input.

If you’d like to leave non-productive break payouts, non productive break rates or minimum-wage adjustments out of your payroll export, select “Yes” for these “Omit ” options. 

Whenever you have lists of payroll batches, you will see this Kronos button here (Click this to generate a payroll batch file first.

After you have generated a payroll batch file, the button will change. You will now see a file icon on the Kronos button.  Click on this button to open the payroll batch file export modal.

  1. You will be requested your Kronos username and password in a form on the modal opened if you successfully generated the file and configured your Kronos company ID and API key.
  2. FieldClock does not store your Kronos credentials for your security, so you will need to enter them each time you import a payroll batch to Kronos.
  3. After you enter your Kronos credentials to the form, click on the green 'Export generated file to Kronos' button.

You will see a success or error message. Be sure to double check the time entries in Kronos and you should be set.
